Grant Post Award Management

  • Post-award activities include regular review, reconciliation, and projection of award finances, preparing adjustments and corrections to award budgets, preparing financial reports, and at the end of the award, ensuring all financial requirements have been met and closing out the award.
  • Submission of JIT, Progress Reports, Re-budgets, Cost Transfer Request, and Subaward management.

  • Provides training on UAB systems for new faculty and their lab personnel
  • Submits the paperwork for the set-up of new BMG financial accounts
  • Processes One Card requests
  • Serves as the departmental back-up payroll editor in the CTA system

  • Serves as admin support for the HSOM Center for Integrative Structural Biology (iSB)
  • Coordinates monthly iSB structural biology forums
  • Coordinates annual iSB symposium
  • Processes travel reimbursements for iSB forum speakers
  • Maintains iSB website
  • Serves as iSB liaison to Center members
  • Enters PO's and payment requests and reconciles P-card transactiions for iSB
  • Creates bi-monthly iSB bulletin
  • Distributes iSB updates and news to Center members via iSB e-mail distribution list

BMG Duties:

  • Assists the Administrative Director with the department's UAB space survey, the HSOM Space Utilization survey, and the UAB asset inventory reports
  • Assists the Facilities Administrator with various BMG projects such as lab clean-ups, equipment inventory, EH&S issues, etc.

  • Coordinates the BMG Chair’s calendar and meeting priorities.
  • Coordinates BMG faculty meetings and departmental communications.
  • Oversees administration of the BMG weekly seminar series, including speaker scheduling and travel arrangements.
  • Manages the distribution of departmental communications and official updates.
  • Assists Faculty Search Committee Chairs with coordination of faculty candidate interviews (virtual and on-site), including travel and itinerary management.
  • Maintains and updates the BMG departmental website and announcement platforms.
  • Maintains current listing of all department personnel and updates email distribution lists
  • Coordinates travel arrangements for the BMG Chair.
  • Serves as primary coordinator for KAUL and SHEL conference room reservations.
  • Ensures smooth scheduling and logistical support for departmental meetings and events.

Finance

  • Processes travel reimbursements for seminar speakers and faculty recruits.
  • Submits EF reimbursements on behalf of BMG faculty.
  • Prepares and submits business and entertainment reimbursements in compliance with university policies.
