Postdoctoral scholars are appointed for one year periods. They must be reappointed every year on their anniversary date if they continue in training.
Approval Forms and Offer Letters
The departmental must first complete and sign the Approval Request Form for Hire to document that funding for support of the reappointed postdoc are in place. Once completed and signed, the form should be uploaded with the reappointment letter request. No letters of reappointment will be prepared without receipt of the Approval Request Form for Hire.
The department personnel representative or mentor will notify OPE that a reappointment letter should be generated through OPE during the month prior to the yearly end date. The reappointment letter will be signed by the Associate Dean of Research and Training, the mentor, and the postdoctoral scholar.
Transferring between Postdoctoral Statuses (20 & 21)
If the reappointment involves the scholar transferring from a postdoctoral employee (HR status 21) to a postdoctoral trainee (HR status 20), some benefits will change. This transfer could occur because the scholar is now being paid by a training grant or they have received an individual postdoctoral fellowship such as an American Heart Association postdoctoral fellowship or an NIH F32 postdoctoral fellowship. If this is the case, please ensure that the postdoctoral scholar receives the quick sheet below detailing what they need to do.

Nonrenewal of Appointment
Postdoctoral scholars, in all years of their postdoctoral tenure, must be notified by their faculty mentors in writing at least ninety days in advance that their appointment will not be renewed for the next year. OPE strongly encourages that mentors use the Notification of Nonrenewal form to document notification of nonrenewal. Additionally, faculty mentors must detail what the expectations and responsibilities are for the postdoc during their remaining time in that position.
